Job title: Wills & Probate Assistant
Reporting to: Head of Department
Job Purpose
To provide effective and comprehensive assistance to fee earners with Wills and Estate Administration caseloads which may include:
- Communication with clients and third parties by telephone, e-mail and post.
- Assist fee earners to progress legal work, making appointments, managing fee earner diaries.
- CREDAS Identification checks.
- Assisting preparing of bills and obtaining client payments.
- Scanning documents, posting scanned documents to file and general file administration and organisation.
- Use of case management system and time recording.
- Accurately maintain client records and correspondence on our systems, assisting fee-earners with compliance.
- Providing initial advice and signposting to required services.
- Providing quotes to clients.
- Identifying upselling / cross-selling opportunities.
- Dealing with will traces and management of the will storage bank.
- Assisting clients with completion of their free online will and completion and return of initial paperwork.
- Record keeping and reports of statistics.
- Report to head of department with any complaints or technical issues.
- Assist other members of the immediate and wider department as required.
- Opening and closing files.

This job is self-sufficient. The job holder will produce all their own work on the PC. Proficiency in using the equipment provided and operating the firms systems to a high standard is required.
A high level of supervision will be provided, although the job requires an ability to make decisions involving the exercise of some judgment.
The ability to communicate clearly and effectively is essential.
